The Situation

Disconnected Systems Created Operational Challenges

Airstream, an iconic recreational vehicle manufacturer with a nationwide dealer network, relies on accurate, accessible data to support its marketing, sales, service, and dealer operations.

Over time, critical business information became fragmented across more than 10 disconnected platforms. Product specifications, floor plans, dealer records, customer leads, and user information lived in separate systems, creating inconsistencies and forcing employees to rely on time-consuming manual processes.

Manual Workflows Slowed Teams Down

Product features were labeled differently across floor plans, making information difficult to compare or reuse. Employees regularly exported and imported CSV files to keep systems aligned, while updates to dealer and user records had to be repeated across multiple platforms.

Even factory tours relied on paper sign-in sheets that were scanned after each visit. Without a real-time digital record of visitors, Airstream faced additional challenges with recordkeeping, liability documentation, and emergency headcounts.

A Need for a More Scalable Solution

The company had previously engaged an outside vendor to develop a new dealer portal, but the solution failed to meet expectations and was ultimately abandoned.

Recognizing that its internal team lacked the bandwidth and specialized expertise to address these interconnected challenges, Airstream turned to Launch Consulting to build a more reliable, scalable foundation.

"Many people can perform tasks related to projects, but it's a smaller group that can build out custom plans with the people involved and continue to refine those as new details are uncovered. The team constantly exceeded my expectations with their organizational skills as well as their technical capabilities."

The Solution

Creating a Single Source of Truth

Launch partnered with Airstream to modernize its data infrastructure, streamline operations, and establish a centralized system for managing critical business information.

Our Launch team combined data engineering, product delivery, and stakeholder management expertise to assess the existing technology ecosystem and identify opportunities for standardization and automation.

Because documentation was limited and stakeholders operated across separate departments, the engagement began with extensive discovery. Through stakeholder interviews, process mapping, and cross-functional collaboration, Launch developed a clear understanding of Airstream's workflows and designed solutions around its operational needs.

At the center of the solution, Launch established Airtable as a single source of truth for products, floor plans, dealers, users, and factory tour bookings.

Connecting Systems Through Intelligent Automation

Using Make.com and Laravel, the team built an automation layer to connect previously disconnected platforms and synchronize information across the business.

The integrated ecosystem now supports several critical workflows:

  • Product and floor plan management: Standardized product features and reusable floor plan data improve consistency and simplify updates across model years.
  • Dealer operations: Centralized user and dealer records synchronize information across connected systems, supporting notifications, VIN registration, expense management, training access, and document libraries.
  • Lead management: Qualified leads flow into dealer CRM systems, while factory tour guest information is integrated with HubSpot to support marketing efforts.
  • Factory tour management: A digital kiosk replaces paper sign-in sheets, capturing visitor information instantly and creating accessible, real-time records.
  • Business system integration: Automated connections between the dealer platform, Airstream.com, Microsoft Dynamics, and other business applications reduce manual data entry and keep information aligned.

Building a Foundation for Future Innovation

By combining technical integration with thoughtful process design, Launch created a more connected operating environment that reduces administrative complexity and supports Airstream's evolving business needs.

Rather than addressing individual system challenges in isolation, the team established a unified foundation that allows information to move more efficiently across departments and the national dealer network.

The Results

20,000 Daily Triggers Across 10+ Connected Systems

Launch's work transformed how Airstream manages and shares information across its business, replacing fragmented workflows with a centralized, automated ecosystem.

Today, more than 10 systems operate around a single source of truth, supported by 40–60 automations executing approximately 20,000 triggers each day. Information that once required manual exports, imports, and duplicate updates now moves automatically between connected platforms.

More Leads and Faster Floor Plan Updates

The improvements extend beyond back-end operations to measurable business outcomes.

More leads reaching dealers: An enhanced factory sign-in process now generates approximately 150–200 additional leads per week flowing into dealer CRM systems, creating more opportunities for follow-up and customer engagement.

Faster floor plan updates: Airstream manages approximately 50 floor plans, updated twice annually. Instead of recreating each floor plan from scratch, teams can duplicate information from previous model years, saving up to five hours per floor plan.

Improved Visibility and Operational Efficiency

Improved operational visibility: Digital factory tour registration provides immediate access to visitor records, replacing paper documentation and improving visibility into who is on-site.

Greater efficiency across teams: Centralized dealer and user management eliminates repetitive administrative updates, while standardized product data creates greater consistency across floor plans and business systems.

Together, these improvements have helped Airstream move away from fragmented, manual processes toward a more efficient, connected operating environment. With a centralized data foundation in place, the company is better positioned to scale its operations, pursue advanced analytics, and explore future opportunities for AI-driven innovation.
